For heat pump and solar installers

What happens to the call that comes in at 6pm on a Saturday?

A virtual receptionist answers when your team cannot, handles the enquiry with care, and gets the details to you.

The essentials

Every enquiry deserves a proper answer.

01

Answers every call.

So a ringing phone has somewhere to go, even outside normal hours.

02

Handles enquiries properly.

Asks the useful questions and keeps the conversation clear.

03

Gets the details to you.

Your team can see what the caller needs and take the next step.

Clear boundaries

It knows when to leave the answer to you.

Some questions need a person with the right knowledge. The receptionist captures the enquiry and passes it on.

  • It won’t quote prices.
  • It won’t rule on grants.
  • It won’t give technical advice.

Privacy notice

How we handle your information.

Company Pilot Limited is the data controller for enquiries through this page and calls to our demonstration number. Our registered office is 71–75 Shelton Street, Covent Garden, London WC2H 9JQ. Our ICO registration is ZC254461.

What we collect and why

When you send an enquiry, we receive your name, business, phone number, email address, message and the package suggested by the selector. We use this information to respond, arrange a callback and discuss the service with you. A demonstration call may include your phone number, voice, details you choose to share, a recording and a transcript. We use these to run the example, respond to you and review how the service handles calls.

For enquiries and demonstration calls, our lawful basis is our legitimate interest in responding to people who contact us and improving our service. If you become a client, we also use information to perform our contract with you and meet legal obligations such as business and tax record keeping. We do not use your enquiry to send unrelated marketing without a separate lawful basis.

How long we keep it

We keep call transcripts, and recordings where enabled, for 90 days. We keep enquiries, callback requests and form submissions for 12 months after our last contact with you, unless you become a client. Client records are kept for the length of the contract and then for the period required for business and tax records.

Who handles it

We use HighLevel/LeadConnector to run this website, form and call service, and Google Workspace for email. These providers process information for us. Their services may process information outside the UK; where a restricted transfer applies, we rely on the applicable contractual safeguards. Ask us at the address below if you would like more information about those safeguards.

Your choices and rights

You can ask to see, correct or delete information we hold about you, or object to or restrict some uses. These rights depend on the circumstances and legal basis. Contact [email protected]. You can also complain to the Information Commissioner’s Office.
